TMS - Part 2 (Inbound Process)
I. Create a purchase order and confirm
Create a purchase order with vendor account and select item on purchase line as shown below,
Switch to a header view to verify some of the fields,
On this screen, navigate to the delivery tab and verify the delivery terms, Shipping carrier and carrier service which drives the mode of delivery, in this case since we have selected shipping carrier as 'LTL' and carrier service as 'LTL', so system defaulted mode of delivery to 'LTL-LTL'.
Switch to lines view to verify 'Load' tab,
As you can see Load tab is empty. This is because during configuration we disabled 'Automatically create a purchase order entry' under Transporation Management Parameters.
II. Inbound load planning workbench
Let's head to the inbound load planning workbench to create a load
You should be able to filter records from filters available at the top of the screen like Supply and demand filter, Site, Warehouse, Ship date and Receipt date.
Once you identify the purchase order you want to create load for, click on 'To new load' button available under the supply and demand tab, section Add.
Note: In this example, I am creating a new load instead of adding to the existing load.
Select load template ID under the dropdown for this example
Although I had selected the Standard load template. However, I changed to '40 Container template' after the warning.
Click Ok to continue.
Note: Depending upon the Load template ID configured or selected, D365 FO will give you a warning, which either you can ignore and continue the process or change the template ID.
These steps complete the creation of the load.
II. Rate route workbench
Navigate to Transporation Management > Planning > Loads > All loads so we can complete the Rate/Route process.
Navigate to the Transporation tab and Rating and Routing section and click on 'Rate route workbench'.
Clear out shipping carrier, carrier service and Mode fields so the system can suggest more rates and routes,
As you can see some of the fields are defaulted.
To get rates and routes click on the 'Rate shop' button at the top of the form and D365 brings all applicate route results as shown below,
Select the one that best suits your needs, in this case, we will select with shipping carrier as 'LTL', Carrier service as 'LTL' and mode as 'LTL'.
Click on the 'Assign' button,
This will route you to the below screen,
Click on the 'Route rate details' button to view the details,
I have selected a Route with Freight and Accessorial charges for this example.
This step completes the rating and routing process.
IV. Confirm inbound shipment
Navigate to Transporation Management > Planning > Loads > All loads,
Click on 'Inbound shipment' under the 'Confirm' section on the 'Ship and Receive' tab to confirm the inbound shipment.
This completes the confirming inbound shipment step and creates details to view freight details and generation of freight bill invoice which you will see in the next step.
IV. Generate freight bill invoice
Once you have confirmed the load, click on 'Freight bill details' under the related information section on the 'Transporation' tab.
The Freight bill details form shows details of the charges associated as shown below,
For Fright charges -
For Accessorial charges -
Click on the 'Generate freight bill invoice' button on top of the form to generate a freight bill invoice. Enter invoice no and click on the OK button.
From here you can either submit the invoice to workflow approval or go to 'Match freight bills and invoice screen', in this example will head to 'Match freight bills and invoices' in the next step.
V. Match Freight bills and invoices
Navigate to Transporation management > Planning > Loads > All loads.
Click on Freight bill details,
Click on the Match freight bills and invoices button,
VI. Approve freight invoice
If the freight bill and invoice look correct, submit it for approval.
On the 'Reconcile the remainder of this invoice' form you can reconcile the amount, comment and approve the invoice
These steps complete freight invoice generation, matching and approval steps.
V. View freight invoice details and ledger voucher -
Navigate to Transporation Management > Planning > Loads > All loads
Click on the Vendor invoice journal button under Related information on the Transporation tab,
Click on journal lines, review details and click post.
Once the vendor invoice journal is posted, navigate to the original purchase order. Click on 'Financials' on purchase lines,
Click on the Maintain charges to view freight and accessories charges added to the purchase order
Complete the product receipt and purchase invoice process.
Once purchase invoice posting is completed navigate to the invoice tab, journals section and click on the 'Invoice' tab,
Click on the vouchers button at the top of the grid,
The below screen shows posting vouchers,
This completes the entire process of inbound processing using the transportation management module from creating orders to posting freight invoices and reconciling.
