TMS - Part 3 (Outbound Process)

I. Create a sales order and confirm

Navigate to All sales order either from Accounts Receivable or Sales and marketing,

Create a sales order with a customer account and select an item on the sales line. In this example, I am taking Customer Account 'US-004' and item number '1000',

 

Once the sales order is created go to step two, where we will create an outbound load.

 

II. Outbound load planning workbench

In this step, we will create an outbound load. To create outbound, navigate to Transportation Management > Planning > Outbound planning workbench,

 

Outbound load form provides the functionality to filter based on supply and demand, site, warehouse, ship date and receipt date.

 

Click on the 'Sales line tab' under the filter to view applicable sales order lines.

 

In this case, our order is only available for that we had created earlier. Let's add it to the load by clicking on 'To new load' under the add section on the supply and demand tab.

 

It will open below screen,

On this screen, you will be able to select Load template ID and associated details as shown on the screenshot.

 

Once done you can head to all loads and applicable loads as shown below,

 

This completes the outbound load creation process.

 

In the next step, we will complete the rating and routing.

 

 

II. Rate route workbench

Navigate to Transporation Management > Planning > Loads > All loads,

 

Click on 'Rate route workbench' under the 'Rating and routing' section Transportation workbench tab.

 

The top half section allows users to edit filters to get better results. In this example, I removed LTL Class, Delivery terms (I selected that after so I have a limited number of rows for results), Shipping carrier, carrier service and mode.

 

Once you have adjusted the filters, click on 'Rate shop', this will provide different options as shown below,

 

Note: I have hidden exceptions to avoid rows with no rates or routes.

 

As you can see system has provided different route results. You can select one that satisfies the needs (e.g. shipping carrier, carrier service, mode, rate, miles, segments, transit days vs delivery date) and click on the 'Assign' button at the top of the grid under 'Route result' tab,

 

Once you click on the 'Assign' button below form shows up,

 

On this form, you can view route rate details, view route documents and transportation tenders. Click on Route rate details to view details,

 

In this example, we have selected routes which have rate and accessories charges as shown on the screen.

 

These steps complete the rate and route using the workbench.

 

 

IV. Confirm outbound shipment

Once we have completed the selection of rate and route, the next step is to confirm the outbound shipment.

To confirm outbound shipment navigate to Transporation Management > Planning > Loads > All loads,

 

Click on 'Outbound shipment' in the Confirm section under the 'Ship and receive' tab as shown in the image above.

 

Once you confirm the outbound shipment, the system gives the below message,

 

This completes the confirmation of the outbound shipment (load).

 

IV. Generate freight bill invoice

Once the confirmation of the load is completed, the next step is to look at the freight bill invoice.

 

Navigate to Transportation Management > All loads > Loads and select your load,

 

Click on the 'Freight bill details' under the related information section on the Transportation tab, which shows information about the freight and any charges,

Click on the 'Generate freight bill detail' and enter freight bill invoice no and click on the 'Ok' button,

 

That shows below screen (Freight invoice details),

 

This completes the step of generating the freight vendor invoice.

 

V. Match Freight bills and invoices

Once the generation of the freight invoice is completed, the next step would be to match the freight vendor invoice,

To match freight bill invoices, Navigate to Transporation Management > Planning > Loads > All loads.

 

Click on the freight bill invoice,

 

Click on the 'Match freight bill and invoice' button,

 

Once you validate and update the invoice amounts, click on the 'Submit for approval' button,

 

This completes the matching and submitting of the freight vendor invoice process.

 

VI. Approve freight invoice

If the freight bill and invoice look correct, submit it for approval. Once the freight bill invoice is available for approval, the Finance team can verify and approve it.

An approver now can select 'Reconciliation reason codes' and enter the comment and click on the 'Ok' button,

 

V. View freight invoice details and ledger voucher -

1. Let's look at the vendor invoice journal processed as part of the freight invoice journal, Navigate to Transportation Management > All loads > Loads. Select the corresponding load and click on Vendor Invoice Journal,

 

Click on the 'Vendor invoice journals' under the related information section on the 'Transportation' tab,

 

Click on lines,

 

2. Verify sales order for charges,

Navigate to Sales and Marketing > All sales orders and select the sales order you created in the first step,

 

Click on the 'Maintain charges' under Financial button on the line level,

 

It shows details as below,

 

Complete the pick, pack and invoice processing for the sales order,

 

Click on the invoice under the journals section on the invoice tab,

 

Click on the vouchers button to verify postings for the sales invoice and associated freight details,

 

This completes the process of verifying sales invoice posting.
